Working with an interior designer remotely: the brief, the moodboard, samples and photo approval
Working with an interior designer remotely rests on three supports: a documented brief, built by video call with photos and measurements of the property; intermediate deliverables, plan, moodboard, samples; and written approvals through to handover. Well run, the process gives a result very close to a project followed on site. This dossier describes the steps and the documents to require.

How does a design project unfold without travelling?
The sequence follows a tried-and-tested pattern, each step producing a document:
The brief, over video: you describe the property’s use, your wishes, your exclusions; the designer asks questions and gathers the measurements.
The survey of constraints: dimensioned plan, photos of every wall, window orientation, natural light at different hours, existing materials that are staying.
The layout plan: the arrangement of furniture and circulation, checked to scale before any purchase.
The moodboard: the board that gathers palette, materials, lighting and references, to validate a direction before going into detail.
The description by lot: each room is broken into lots, flooring, walls, textiles, furniture, lighting, each with an intention and a priority level.
The rhythm of sign-offs is written down from the start: who approves what, at which step, with what response time. This rule, set at the first exchange, avoids the main pitfall of remote projects: decisions that drag because nobody knows whose turn it is.
Not every designer takes well to remote work. Those who do share three habits: they question the brief until every ambiguity is exhausted, they deliver documents rather than speeches, and they accept that every decision passes in writing. The first exchange is often enough to tell: the one who calls you back to clarify a room’s use before proposing anything will work better from thousands of kilometres away than the one who moves straight on to proposals.
Approving materials without touching them
This is the most common objection, and samples lift it almost every time. Two formulas coexist:
The shipped sample: the designer sends materials, fabrics and colour charts to your address abroad. You touch, you compare at home, and you approve knowing exactly what you are getting.
The sample photographed on site: the person representing you on site places the samples in the home, next to the existing floor, walls and woodwork, and photographs them in natural morning light and artificial evening light.
The second formula has a decisive advantage: it shows the material in its real context, which no sample received abroad does. The first has its own: touch. The soundest projects cross the two. For wall colours, additionally require a large trial patch on the final wall: a colour is judged on a square metre, never on a sample the size of a hand. And when doubt persists on a sensitive point, a small test order, a cushion, a metre of fabric, settles things at little cost before committing a whole lot.
Which deliverables and sign-offs should you require at each step?
The rule is simple: no step closes without a deliverable, and no deliverable closes without your written sign-off. The table below sets the standard:
Project step
Deliverable
Sign-off
Brief
Statement of intent, dimensioned plan, photos in two lights
Your choices recorded in writing
Layout plan
Furnished plan to scale, circulation checked
Sign-off on an annotated drawing
Moodboard
Board of atmosphere: palette, materials, references
Direction validated one by one
Samples
Materials shipped or photographed on site
Agreement in two lights, morning and evening
Orders
Order form per lot, delivery calendar
Written agreement before each order
Installation
Photos of the finished work, snagging list
Reservations noted then cleared in writing
On budget, the same discipline without magic numbers: the project is broken into lots, each with a relative envelope and a priority, and any drift on one lot is offset in writing on another. You approve trade-offs, never faits accomplis.
This standard has a hidden virtue: it keeps the project comparable over time. Each lot approved rests on the same basis as the previous one, so a project interrupted for months can resume without deciding anything again. For a non-resident owner, whose availability is counted in weeks, this documentary continuity is worth as much as the designer’s talent.

How does the snagging sign-off work?
Sign-off returns to the logic of every remote fit-out: comparing the expected with the actual, room by room, with the project documents in hand, lot descriptions, order forms, approvals. Every gap, a shade delivered differently, a poor installation, a missing accessory, becomes a reservation noted, photographed, dated. The designer or the installer then has a rework deadline set in writing, and reservations are cleared on photos, exactly as they were recorded.
Two precautions stabilise this step: keep a sample of every approved material until the end of the works, to compare without argument; and never treat a reservation as minor until it is written down. What is not noted on the day of the inspection does not exist.
How does the project tie in with coordinated fit-out?
The designer designs; execution, meanwhile, is coordinated: deliveries to receive, craftspeople to schedule, assemblies to check, and a home that is never ready by accident. That is the role of the Home Select concierge service, which connects design and execution, holds the calendar of the lots, receives the deliveries and reports with photos. Once the decoration is in place, the technical side of the home can follow the same thread, as described in the dossier on home automation for the absent owner.
A design project run from afar succeeds when every material, colour and installation has been approved before being committed.
What Home Select organises for your decoration project
Settling in is prepared during the search: the date of the deed sets that of the delivery, and the contracts are opened before the arrival. Your Home Select property finder keeps that calendar with you, from the preliminary contract to the first night.
We introduce the international remover, the tradespeople of the fit-out and the concierge service that receives deliveries and prepares the house. Transport, customs and works are theirs, under their responsibility: our role is that you arrive in a house that is ready.
Frequently asked questions
Can you entrust a design project without having seen the property?
Yes, if the brief is documented: a dimensioned floor plan, photos of every wall in two lights, and a note on the intended use and moods. The designer works from these, and every proposal is checked through samples or photos before any commitment.
How do you sign off a colour or material without touching it?
By crossing two pieces of evidence: the sample, shipped to your address abroad or photographed on site, and a photo of that sample placed in the room, next to the existing materials, morning and evening. Two agreeing sources beat a screen impression.

How do you choose an interior designer for a remote project?
On their working habits more than on their pictures: a designer who questions the brief until every ambiguity is gone, delivers documents rather than talk and accepts that every decision goes through in writing will work well thousands of kilometres away. The first exchange is often enough to tell.
